Challenge
Modernizing Core Accounting Workflows to Support a Fast-Moving Team
Since its founding in 2019, Advisor360° has established a longstanding reputation for providing large broker-dealers and RIAs with end-to-end wealth management technology solutions. The company was gearing up to modernize its product offerings and expand downmarket, but navigating this transformation would also require reshaping Advisor360°’s accounting and finance operations.
At the time of the planned expansion, Advisor360° was working with a lean, four-person accounting team that used NetSuite for day-to-day tasks. Even with this industry-standard system, routine tasks like coding and reviewing cash transactions consumed a significant amount of their already limited time. “We would have to manually touch every single cash entry that came in,” shares Zach Doyle, Accounting Manager at Advisor360°. “We lost so much time reviewing for errors that we didn’t have bandwidth for other crucial work.”
The efficiency impact extended beyond time investment. Every day, Zach saw signs that their current system wasn’t flexible enough to accommodate the changes that come with rapid growth. Amortization was a prime example. Because NetSuite locks amortization schedules once they’re posted, even a slight discrepancy would require creating a “fake” offsetting schedule to zero out the original schedule and rebuild it. In fact, at the time of migration, the team accumulated 200 amortization schedules, with about 20% created as workarounds to keep up with constantly changing departments and shifting general ledger accounts.
Zach knew he needed to level up. As Advisor360° expanded its client base, this inflexible system would make it even harder for his team to manage core accounting functions like monthly close, and he would have to add headcount. So, when the company’s ERP renewal came up in early 2025, Zach decided to look for a cutting-edge new solution. That’s when he discovered Campfire.
“Our NetSuite setup was solid, but it's still a legacy ERP with a lot of required workarounds. Campfire showed us how a modern ERP should perform. We knew from the day we got access that we’d made the right call.”
Solution
An AI-Native ERP That Empowers Accounting to Close Fast and Scale Faster
Campfire’s AI-native ERP empowered Advisor360° to multiply internal accounting efficiency and capitalize on downmarket demand, all without adding headcount.
The partnership began with a tailored onboarding process where the Campfire team walked Zach through each foundational step and integration. Over this rapid, two-week implementation, they worked side by side to modernize Advisor360°’s chart of accounts and migrate historical data using complex rules. “The entire onboarding process was incredibly touchpoint-heavy,” Zach shares. “Because their team was so willing to work with us, acclimating to the new system was effortless.”
Today, the team no longer has to manually code and review each cash transaction. 80% of cash transaction coding is handled through Campfire’s predefined rules and direct integrations with both Ramp and Advisor360°’s banks, HSBC and JPMorgan. Meanwhile, another 10% of cash transactions are auto-coded through Campfire’s accounting intelligence functionality, LAM, which categorizes each entry based on historical patterns and user prompts. With 90% of transactions automated, Zach’s team has countless hours to reallocate to higher-value work, such as variance analysis and supporting audit requests.
Campfire also gave Zach a better way to manage amortization. Now, his team works from a smaller set of amortization schedules that they can adjust directly any time a department or value changes.
But, for Zach, the impact runs much deeper than any isolated workflow. His team now has a flexible, automated accounting system to grow with their constantly evolving company.
Take the AI-assisted close process he and his Staff Accountant now enjoy:
- The Staff Accountant routes the last invoices, syncing those, plus employee reimbursements and credit card transactions to Campfire, then locks the AP subledger.
- Zach begins his review while she moves on to vendor accruals. He reviews new transactions and vendor invoices, runs amortizations, and tracks progress using Campfire's close checklist.
- When the Staff Accountant posts vendor accruals, she tags them directly to the checklist. Zach opens the task, clicks through to the journal entry, and sees her supporting workbook in the notes.
- Once Zach runs amortization and reviews the vendor accruals, the Staff Accountant begins vendor- and department-level fluxes of the company’s tech-spend GLs, using Campfire’s AI agent, Ember, to write flux commentary and rapidly identify the transaction-level data behind the differences. Zach then does the same for his review of her work.
- Both Zach and the Staff Accountant check in every one to two hours to hand off completed tasks and coordinate next steps.
This streamlined process enables Zach and his team to consistently achieve a three-day close, while knowing every number they sign off on is 100% accurate.
“With Campfire, month-end close no longer feels like a scramble because the work moves through one shared checklist with clean handoffs. Instead of reviewing everything manually, we can get answers in seconds and then move on to the next step.”
