How HockeyStack cut its month-end close in half with Campfire

Learn how HockeyStack cut its month-end close in half and automated manual schedule work with Campfire's AI-native ERP.

I think ten days is a good average for when I first started. Now we've trimmed that down to five, and I can spend more time cutting up the numbers and running analysis for monthly financial reports.

Challenge

Three accounting systems in eighteen months

HockeyStack's finance function is lean by design. Strategy and Finance Lead Alvin runs it alongside an overseas team of four, an accounts receivable specialist, an accounts payable specialist, a senior accountant, and a controller, five people covering the month-end close, investor reporting, board decks, vendor negotiations, and HR, spread across two time zones.

In the roughly eighteen months before Campfire, HockeyStack had already moved through two other accounting systems. Each transition left behind its own migration debt: stale transactions parked in old accounts, a stretch of running a double close in parallel with QuickBooks, and manual reconciliation that ate into the days Alvin wanted to spend on analysis instead.

Prepaid and fixed asset tracking captured the scale of the manual load: roughly 100 lines of prepaids and 80 lines of fixed assets, all kept by hand in spreadsheets. A month-end close took about ten days, sometimes longer.

When there are discrepancies, that's when doubts on the numbers I'm looking at start to creep in. As someone in finance, I don't like that feeling.

Solution

A single platform, live in three weeks

HockeyStack needed its first month-end close running on Campfire inside a tight implementation window, a compressed runway driven by disruption at the company's prior ERP, and the team credits Campfire's support for making that timeline workable.

With the help of the Campfire implementation team, we were able to kick off implementation and close out the month, all within three weeks. I always felt very well supported. They always knew what we had to do, and even late at night, they were there.

Rippling, Ramp, and Rho now connect directly into Campfire, replacing the patchwork of manual exports and two-system reconciliation HockeyStack ran before. Prepaid and fixed asset schedules that used to live in spreadsheets are now a monthly module run and a review, not a rebuild. And with the team split across two time zones, Campfire's close checklist has become Alvin's home base for knowing where the month stands without having to ask.

Alvin also connects to Campfire through its MCP integration, pulling data directly into the tools he already works in rather than exporting and manually tracing a number back to its source.

I don't have to go through the motion of pulling the data from Campfire manually, or manually tracing a number all the way back. I can talk to a few agents that have full visibility into what Campfire has, and that's contributed to my ability to ship more useful analysis to our investors in a shorter amount of time.

Results

A faster close and time back for strategic work

With Campfire, HockeyStack cut its month-end close roughly in half, automated its prepaid and fixed asset schedules, and consolidated its finance tech stack onto a single source of truth, all without adding headcount.

  • 5 days to close the month-end, down from 10
  • 3 weeks from kickoff to first close on Campfire
  • 1 finance lead managing a global accounting team

HockeyStack has since renewed with Campfire and added a second legal entity, giving Alvin visibility into both parts of the business on a standalone and a combined basis.

I'd recommend Campfire because it's helped us be more efficient with our time. We've been able to win back a lot of our bandwidth to focus on more strategic projects, instead of going through yet another repetitive monthly close.
